How club presidents can keep track of club promises with Nirvaana

The Nirvaana team · · 4 min read

The real worry

Being a club president is a second job that nobody pays you for. You are also a student with your own classes. Somewhere in the middle, you are the person everyone asks.

"Did the room get booked?" "Who is handling the flyers?" "Has Sam paid dues?" "Wasn't the treasurer going to send the budget?" Most of it is small. But small things pile up, and when one slips, it is usually your name attached.

You do not need to remember all of it. You need a place that does.

A shared world for the club

In Nirvaana, a world is one part of your life with the people in it: a class, a club, a team. A club is a natural fit.

You make a world for the club and send it to your officers or members, by link or by name. It is shared only with its people. Your own world stays yours alone, and nothing from it goes into the club's world until you press Approve.

That matters for a president. You are carrying your own coursework and plenty the club does not need to see. You get to share the schedule, the plan and the decisions, and keep everything else to yourself.

Promises go both ways

This is where Nirvaana helps most. A club runs on promises in both directions.

  • Things you owe: you told the faculty advisor you would send the semester plan by Friday. You told the vendor you would confirm the order.
  • Things you're owed: the treasurer said they would send the budget. A member said they would pay dues by the next meeting. The events chair said they would lock in the date.

You tell Nirvaana in your own words, like texting a friend. It keeps each promise in view until it is done, and it remembers the ones people made to you. Today shows what you owe and what you're owed.

A day with Nirvaana

Here is an example, not a real user story. Say you're Alex, president of a hiking club at a big university.

8:00 am: Catch me up

You type "Catch me up." Nirvaana tells you what is due, the late things first. Your organic chemistry problem set is due tomorrow. The advisor is still waiting on your plan. You also see that the treasurer's budget is a few days overdue.

If you connect Canvas, each class you take comes in on its own, with its files, facts and due dates. Nirvaana only reads Canvas. So your coursework and your club duties show up in the same calm view, which helps when you are deciding what to do first.

12:30 pm: After the officer meeting

You walk out of the meeting with six commitments. Instead of trying to remember them, you tell Nirvaana: "Priya will book the van by Wednesday. Sam is making the flyer. I'm sending the advisor our fall plan on Friday. Treasurer sends the budget Monday."

Each one is now in view with a name and a date.

4:00 pm: Sharing with the club

You want everyone to see the plan for the fall hike. Nirvaana shows you what it would add to the club's world and who it would go to. You press Approve. The plan is shared with the club's people. Your private notes are not.

Monday: dues

Dues are a promise too. A member told you they would pay by the next meeting. You note it, and it stays in view until it is paid. When the money arrives, you tell Nirvaana, and the promise is marked done.

If anything ever involves spending money, it waits for your yes, at every level.

Friday: closing the loop

The advisor email is due. You write it yourself or ask Nirvaana to draft it. It will not send it for you without your yes, so you read it and press send.

Handing the club to the next president

Clubs lose a lot of knowledge every spring. A shared world gives the club a memory that does not leave when you do. What the club decided to share stays in its world, for the next president to find. Your own world goes with you.

What it won't do

  • It only reads Canvas. It does not post to it or change anything there.
  • It is built to stop before it sends, posts, pays, signs or deletes, and hand the step to you.
  • That check is automatic and not perfect, so give important messages a second look.
  • It is one agent for one person. Each officer uses their own, and the shared world is where those meet.

What stays private

  • Your own world is yours alone.
  • A shared world is shared only with its people, and nothing from your own world goes in until you press Approve.
  • We do not train on your world. We sell nothing and share nothing for advertising.
  • You can download your world, or delete your account, from Settings.

Where to start

  1. Download Nirvaana for Mac, sign in, and connect the AI you already pay for: ChatGPT, Claude or Gemini. No plan? Google's free Gemini works with a Google account, and the app sets it up during the first run. Windows and iPhone versions are coming soon.
  2. Make a world for the club and send it to your officers.
  3. After your next meeting, tell Nirvaana who promised what by when.

If your officers also work in small teams, Nirvaana for group projects shows how to track who owes what. And if you run weekly study sessions with your members, see Nirvaana for study groups.

Nirvaana is for people 18 and older, and it is available in the US for now.

Set it down. Nirvaana keeps track of your classes, your promises and your week, so your mind can rest.
